Thank You 2018 Volunteers!

Fairbanks Homeschool Science Fair is run by volunteer parents and homeschool organizations.  There will be no Fairbanks Homeschool Science Fair without these people.

Below is a detail description of each duty.   Pick one or two to make “Science Learning” thriving! 

Chairperson: Oversee all the meetings and responsibilities of the fair. Make sure all other jobs are filled and take care of loose ends. Secure a place to hold the fair. (Year round, average 1 hour a week)

Co-Chair: To work along side the chairperson and be prepared to take over the chairpersonship if necessary. (Year round)

Fund Raising/Treasurer: Send donation letters follow up with phone calls, pick up donated items, deliver the checks, and keep track of the incoming and outgoing. (January-May)

Inspiration Workshop:  Secure workshop location for September and December workshops.  Coordinate with Chair for workshop ideas. (August, September, November, and December)

Judging Coordinator: Recruit judges and oversees the whole judging process. Meet with judges before the fair and go over judging guidelines. Check each judging sheet that judges bring in and clarify their comments. Secure 1 or 2 helpers to place ribbons and letters for district winners. We usually need about 8 pairs of judges for the fair. (February – event day)

Volunteer Coordinator: Make phone calls to remind all the volunteers to show up on time for meetings and fulfill their duties. (January-February)

Marketing Coordinator: Design flyer, place advertisement, and distributes flyers. (August, November, and January)

Registration Coordinator: Create Excel and assign table number and judging time to each participant. (January-February)

Supply Coordinator: Order any supplies necessary for the fair including utensils, ribbons, certificates, etc…., (January-February)

Food Coordinator: Buy/set up refreshments such as coffee, tea, donuts, fruits, sandwiches, and pizzas for the judges and volunteers. (February – event day)

Photograph Coordinator: Take pictures of the students with their projects and a group picture. The group shot should be taken right before the awards ceremony. Organize to have either a power point presentation or a projector to display during the awards ceremony and burn CDs for parents to take home. (February – event day)

Setup Coordinator: Secure helpers to set up tables/chairs before and after the fair. Coordinate with the registration coordinator for table layout. Set up/down posters, table numbers, and signs. (February-event day)

Thank You Coordinator: Buy thank you cards for volunteers and judges. Come up with gift idea, cookies arrangement, and thank you cards for the judges.  Mail or hand deliver the signed thank you card and enlarged 5*7 group photo to our sponsors. (January- event day)

District Coordinator: Collect completed forms and necessary fees from district winners. Enter the information in Excel and deliver the completed list, forms, and fees to the district science fair coordinator. (Event day-Early March)

Monitor(x2): Roam during judging hours to make sure judging area is quiet and no kids are running around or parents talking too loud. This person can secure a few other adults to help or take shift. (Event Day)

Cookie Baker (x4): Four families will be assigned to bake two dozens of awesome cookies for judges.
